Refund Policy

1. General Policy and Scope
BEACON CORE ENTERPRISES INC Inc. provides highly specialized, custom software engineering and infrastructure architecture services. Because our work involves the immediate allocation of dedicated engineering talent, server resources, and intellectual property, our refund policies differ significantly from those of standard SaaS products or retail goods.
2. Initial Project Deposits
To initiate a custom development project, BEACON CORE ENTERPRISES INC typically requires an upfront deposit (as outlined in your Statement of Work). This deposit secures your place in our engineering queue and funds the initial architectural scoping.
- Full Refund Window: Initial deposits are fully refundable within seven (7) calendar days of payment, provided that formal architectural planning, wireframing, or coding has not yet commenced.
- Non-Refundable Phase: After 7 days, or immediately upon the commencement of project work (e.g., the first scoping meeting or the provisioning of staging environments), the initial deposit becomes strictly non-refundable.
3. Milestone Payments and Custom Development
Payments made for ongoing development milestones (e.g., "Completion of Backend Architecture" or "Frontend Delivery") are non-refundable once work on that specific milestone has begun. We provide staging links and regular updates to ensure complete alignment before writing code, mitigating the risk of dissatisfaction. If a client terminates a project mid-milestone, billing will be prorated based on the hours and resources expended up to the date of termination, and any unspent balance from that milestone payment will be refunded.
4. Maintenance, Retainers, and Managed Hosting
For clients on monthly or annual software maintenance and hosting retainers:
- Cancellation: You may cancel your retainer at any time with thirty (30) days' written notice.
- Prorated Refunds: If you cancel an annual pre-paid retainer, you will be refunded a prorated amount for the remaining full months following the 30-day notice period. The months utilized prior to cancellation will be retroactively billed at the standard monthly rate rather than the discounted annual rate.
- Hosting Costs: Direct costs incurred by BEACON CORE ENTERPRISES INC for provisioning third-party infrastructure (e.g., AWS, Vercel, or Stripe fees) on your behalf are non-refundable.
5. Dispute Resolution Process
We are committed to delivering exceptional engineering. If you believe the delivered software fails to meet the specifications outlined in your signed SOW, you must notify your designated Project Manager in writing within 14 days of delivery. BEACON CORE ENTERPRISES INC will evaluate the claim and, if the software is found to be non-compliant with the agreed-upon scope, we will work in good faith to rectify the issue at no additional cost. Refunds are only considered if BEACON CORE ENTERPRISES INC explicitly agrees that it cannot fulfill the technical requirements of the SOW after a cure period of 30 days.
6. How to Request a Refund
To submit a refund request for an eligible transaction, please email billing@beaconcoreservices.com with your project name, invoice number, and the detailed reason for the request. Our finance team will process eligible refunds within 10-15 business days to the original payment method.
